Room Bookings

If you are browsing and looking for a venue to hire for an occasion or for a group residency, please find all the information you need on this page. 

If you are enquiring about a singular one-off booking, (e.g. a party), please contact erynprice@birtleycommunitycentre.co.uk and request a booking form when regarding us with your enquiry. Booking forms will be sent out in accordance and are required to be thoroughly read through and filled in completely so that when it is returned, it can go through an approval process. Please note prior to enquiring that due to the low ceilings and chandeliers, we do not accept bouncy castles or inflatables on-site due to the health and safety hazard. 

The booking process outlined simply:

1) Enquire via email (informing us of which room you are looking at booking (please also note children's parties are only permitted in our lower hall), please also inform us of dates and times.

2) You will be sent a relevant booking form asking for personal details from yourself, (i.e. name, contact number, address) and the other boxes containing specific information for your party/booking and requirements must be filled in so that we can check to see if we can accommodate you.

3) Return the booking form to the email address it was received from, allowing us a period to check whether we can accommodate your event on-site and that your date and times do not clash with priority bookings from members who run frequent classes/groups. 

4) If your booking is approved, you will then be required to pay a £30 deposit to secure your booking. Your deposit may be returned on the day of your booking IF all terms & conditions outlined in the booking form are complied with. You can then pay your room hire costs prior or on the day of your event. 

5) If you require to cancel your booking, you are expected to give 48 hours notice prior to the day of your event.

Upper Hall Bookings

One-Off Bookings:

Deposit: £50

Charge: £40 first hour £15 each hour after

Regular Bookings (Based on Membership Scheme for classes/long term groups)

Annual Membership Fee: £90 (subject to change)

Cost p/session: £35 minimum booking for up to 3 hours, calculated by 50 weeks of the year. 

£35 x 50 / 12 = £145.84 per month

£11 for each additional hour added to weekly subscription.

additional charges may occur if:

- your session overruns and will be charged in 30 minute increments at the related rate

- You require additional hours beyond the minimum booking hours.

- If your group/session leaves unnecessary cleaning (as per the booking form, groups are required to clean the halls/facilities used after their sessions)

Lower Hall Bookings

One-Off Bookings:

Deposit: £30

Charge: £30 first hour £10 each hour after

Regular Bookings (Based on Membership Scheme for classes/long term groups)

Annual Membership Fee: £90 (subject to change)

Cost p/session: £25 minimum booking for up to 3 hours, calculated by 50 weeks of the year. 

£25 x 50 / 12 = £104.17 per month

£8 for each additional hour added to weekly subscription.

- your session overruns and will be charged in 30 minute increments at the related rate

- You require additional hours beyond the minimum booking hours.

- If your group/session leaves unnecessary cleaning (as per the booking form, groups are required to clean the halls/facilities used after their sessions)

Kitchen Facilities

For one off bookings mostly, due to the cost of living, we are having to increase our surcharge rates for the use of our kitchen space (if you are using our appliances particularly) please ask for more information regarding prices as they are variable.

Our Warm Spaces/ Community Shop Area

We have a fully operating community warm space area on-site equipped with a boiler, teas, coffees, sofa's and seating areas. Although this room is used primarily for our on-site charity shop, this is a nice and cosy room which is perfect if you are looking to have a personal meeting in a private and confidential space. Just to reiterate some essential information:

- Membership bookings by default will override one-off bookings as most of these classes/groups are external businesses. Unfortunately we will be unable to negotiate a change in timetable and one-off bookings will have to be worked around. 

- Please also note that as staff usually do not work on the weekends, any one-off bookings will be subject to availability of who can open/lock up. 

- Our lower hall during term times has to be expected to not be available due to our on-site pre school. Out of term times, (i.e. Summer Holidays are more relaxed). 

- For members of in-house groups, or if you are looking to become a member of B.C.C will have an offer of becoming a keyholder (making ease of access for groups operating outside of office staff hours)

- Members of B.C.C also have a duty as part of their membership to elect a member (preferably the head of the group) to be a part of the Committee which allows you a say in how B.C.C operates, and a chance for you to become more involved with B.C.C if you wish to be elected to become a part of our Exec. Team.

- If you are running sessions targeted to adults and children, you must provide copies of your DBS and ensure your personal insurances and liability are up to date and standard. 

Membership perks include but are not limited to:

- Priority bookings with regular dates & times solely for your group

- Discounted rent

- A place on our committee with optional progression to our exec team.

Staff Appointments

Our office staff work weekdays Mon-Fri and are regularly on-site between 9am-3pm. If you would like to arrange a meeting to speak with us regarding bookings, personal issues etc, please contact us to arrange a date and a time to come and speak with us face to face, we are more than happy to help where we can.
